Your friend is coming to your city from overseas. Write to him/her to say that you will not be able to accommodate him/her in your home. Include the following in your letter:
– Give your reasons.
– Suggest him/her an alternative accommodation.
– Suggest a place and time for you to meet.

I hope this letter finds you well. It was wonderful to hear that you will be coming to Delhi from Australia next week. However, I regret to inform you that I won’t be able to accommodate you at my home during your visit.
Unfortunately, there is a family event taking place at my house during the same time. Many relatives and guests have already occupied all the available rooms on the first, second, and third floors. As a result, there is no space left to accommodate any additional guests, including you.
However, I have a solution for your accommodation. My cousin owns a house nearby, and he is very close to me. I consider him a friend, and I’m sure he would be happy to host you during your stay. You can stay at his place while still being able to visit me at my home every day.
To make things easier, I suggest that we meet at my house in the morning after you arrive in India. This way, I can introduce you to my cousin and ensure a smooth transition for your stay at his place.
I apologize for any inconvenience this may have caused, but I believe staying at my cousin’s house will be a great alternative for your accommodation needs. I’m looking forward to seeing you soon and spending time together.
